Privacy Statement

1. The controller of your data

[Registered Company Name] ("WeTRACK", "we") operates wetrackhq.com and is responsible for the personal data covered by this policy. We act as data controller under applicable data protection law, including as Data Fiduciary under the Digital Personal Data Protection Act, 2023 ("DPDP Act") and, where it applies, the GDPR.

2. Information we hold

We limit collection to what is needed for business correspondence:

  • Your name, role, organisation and the business email address and phone number associated with that role;
  • Information about your organisation, such as its website, sector, the trade lanes it serves and publicly available import or export records;
  • Records of our correspondence, including your replies and whether a message was delivered or returned; and
  • Basic technical information (IP address, browser and timestamp) logged automatically by our web host when you load this page.

We do not seek, and ask you not to provide, sensitive personal data such as health, financial account or identity-document information.

3. Sources

  • You, when you write to us or speak with us;
  • Public professional sources, including company websites, trade directories and published shipment records;
  • Commercial business-contact databases licensed from providers that warrant lawful collection; and
  • Referrals from mutual business contacts.

4. Scope of this policy

This policy applies to (a) visitors to wetrackhq.com; and (b) business professionals whom we contact, or who contact us, about our logistics and shipment-visibility services. It does not apply to data we process on behalf of customers inside the WeTRACK platform, which is governed by the relevant customer agreement.

5. Why we use it, and on what legal basis

We use personal data to: contact professionals about services relevant to their role; respond to enquiries; honour opt-out requests; secure our systems; and meet legal obligations.

Where the GDPR applies, we rely on our legitimate interests (Article 6(1)(f)) in reaching businesses that may benefit from our services, having balanced those interests against your rights: we contact you only in your business capacity, keep messages relevant and infrequent, and make opting out immediate and permanent. Where the DPDP Act applies, we process personal data that you have made publicly available in a professional context, and rely on your consent wherever the law requires it; you may withdraw consent at any time, as easily as you gave it. We also process data where necessary to comply with a legal obligation.

6. Recipients

  • Processors: providers of email infrastructure, outreach software, CRM, email verification and website hosting, acting solely on our documented instructions.
  • Advisers: legal, accounting and audit professionals bound by confidentiality.
  • Authorities: where disclosure is required by law or legal process.
  • Corporate transactions: a successor to all or part of our business, subject to this policy.

We do not sell personal data or share it for cross-context behavioural advertising.

7. International transfers

Some of our service providers store or process data outside India or outside your country of residence, including in the United States and the European Union. Where the GDPR applies, we put appropriate safeguards in place, such as the European Commission's Standard Contractual Clauses. We do not transfer personal data to any country or territory restricted by the Government of India under the DPDP Act.

8. Stopping our emails

You can stop hearing from us at any time, without giving a reason. A one-word reply such as "stop" or "unsubscribe" is enough, as is an email to privacy@wetrackhq.com. Your request applies to every WeTRACK domain and sender, and is actioned within 10 business days at the latest. To honour it permanently, we retain only your email address and the date on a do-not-contact list.

9. Your rights

Depending on where you live, you have the right to access your personal data; to have it corrected, completed or updated; to have it erased; to object to its processing (including an absolute right to object to direct marketing); to restrict processing; to data portability; to withdraw consent at any time; to nominate another person to exercise your rights in the event of death or incapacity (under the DPDP Act); and to grievance redressal.

To exercise any of these rights, write to privacy@wetrackhq.com. We will respond within 30 days, may ask you to verify your identity, and will not charge a fee. If you are unhappy with our response, you may escalate to our Grievance Officer (below) and then complain to the Data Protection Board of India or, in the EU or UK, to your local data protection authority.

10. Retention

We keep personal data only for as long as it serves the purpose for which it was collected. Outreach records are erased or anonymised no later than 24 months after our last meaningful contact, or sooner if you ask us to stop. Records of business relationships are kept for their duration plus any statutory retention period. Web-server logs are kept briefly for security. The one exception is our suppression list, which holds the minimum needed (email address and date) for as long as necessary to ensure we never contact you again.

11. Safeguards

  • Transport-layer encryption for data in transit;
  • Least-privilege access with individual, two-factor-protected accounts;
  • Security and confidentiality obligations imposed on every processor; and
  • A breach-response procedure that includes notification to affected individuals and to authorities, including the Data Protection Board of India, where required.

12. Individuals under 18

We do not target or knowingly collect data from persons under 18 years of age. If you believe we hold such data, please contact us and we will delete it.

13. No cookies on this site

wetrackhq.com is a static page. It does not use cookies, pixels, analytics tools or third-party embeds of any kind. Our web host records basic request information for security, and nothing else is collected when you browse.

14. Automated decision-making

We do not make decisions that produce legal or similarly significant effects about you based solely on automated processing, including profiling.

15. Grievance redressal

Every grievance is acknowledged and addressed within 30 days. If you are not satisfied, you may approach the Data Protection Board of India.

16. Updates

This policy may be revised to reflect changes in law or in our practices. The current version is always published on this page with its effective date. Material changes will be highlighted here, and we will not reduce your rights under this policy without your consent where such consent is legally required.

17. Governing law

This policy is governed by the laws of India. Subject to any mandatory rights you have under the laws of your country of residence, the courts at Thane, Maharashtra have exclusive jurisdiction over any dispute arising from it. If any provision is held invalid or unenforceable, the remaining provisions continue in full force. Nothing in this policy limits any right you have under law that cannot be waived.
